About

Structure that helps leadership move forward.

Portrait of Florian Ocan

I think in systems. When something breaks twice, I look for the rule that's missing upstream. A calendar structure, an intake form, a one-page brief: small pieces of infrastructure that quietly prevent repeat fires.

Career-wise, that means moving from Executive Assistant to Senior Executive Assistant to Executive Operations Specialist, each step trading task execution for more ownership over how a business runs.

Proof, in practice.

Common Questions

An Executive Assistant typically manages calendars, inboxes, and day-to-day logistics for an executive. A Chief of Staff usually works one level up — coordinating priorities across teams, preparing board materials, and acting as an operational right hand to leadership. In practice the two roles overlap heavily, especially as a business grows.

Not yet by title. My background moved from Executive Assistant to Senior Executive Assistant to Executive Operations Specialist, and Chief of Staff-level partnerships are the direction I'm building toward. Much of the day-to-day work already overlaps: protecting executive focus, running operational rhythms, and turning priorities into repeatable systems.

Founders and growing businesses that need more structure than a single assistant typically provides, but aren't yet at the point of building an internal operations team.

Most engagements start with a short call to understand where things feel unclear or unstructured, followed by a review of existing systems, calendars, and communication before we agree on priorities together.

Yes. Coordinating priorities and meetings across time zones is part of the day-to-day work, and most of my experience has been fully remote.

Mostly Google Workspace, Notion, ClickUp, Asana, HubSpot, and Canva, alongside AI tools like ChatGPT and Claude for day-to-day support — happy to adapt to whatever stack a business already uses.
